Your store comes with a number of built-in message templates you can use to send automated notifications to customers, vendors, and anyone else in your store's address book. Before you use one of these templates, you should take a few minutes to customize it so it's tailored to your business and your customers.

The default templates contain relevant order variables that are automatically populated by the Volusion system, but you can also add customized messages, links, and your store logo.

Important Note

Before you begin editing, be sure to archive your message template so you can restore the original if necessary.

When you're making changes to a template, make sure you don't delete any variables denoted by a dollar sign – for example, $(OrderNo) – as these fields are automatically populated with information from your store's database.

Additionally, you should have a basic understanding of HTML before making any changes. See "Basic Theme Customization" for some helpful tips.

Customizing an Email Template

Follow the steps below to find and modify any message templates you plan to use:

  1. Go to Design > File Editor in your Admin Area.
  2. In the Shortcuts menu, click /v/vspfiles/email_templates.
  3. Select the template you want to customize from the drop-down menu at the top of the page.
  4. Edit the HTML in the File Editor window.
  5. When you're finished, click Save.

Depending on the template you're customizing, you might consider adding the following information:

Adding Your Logo to Emails & Invoices

Give your emails a consistent look by adding your logo to them. If you chose to use a Text website logo on the Logos page, your company name will display in place of a logo on invoices. You can upload a custom graphic logo for invoices by doing the following:

  1. Go to Design > Logos in your Admin Area.
  2. Expand the More Logos section and locate the Invoice Logo heading.
  3. Drag an image file from your computer into the drop zone, or click Upload to browse for the image on your computer. Image files must be .PNG, .GIF, or .JPG format and use the Recommended Size listed under Invoice Logo.

If you're not satisfied with your invoice logo, simply drag a new file into the drop zone or click the Upload icon below your existing logo to browse for a new image. If you'd rather eliminate the invoice logo entirely, click the Delete icon.

Note that to use a graphic logo on store invoices and emails, you must enable the Graphic option under Website Logo at Design > Logos.

Note on Customization

At this time, the only automated email subject lines you can customize are those listed in the table below.

To customize one of these subject lines:

  1. Go to Design > Site Content.
  2. From the Article Group menu, select PageText.
  3. Press List All Records.
  4. Locate the PlaceOrder_Generic section.
  5. Edit the appropriate ID number (see table below).
  6. Save.

All other automated email subject lines cannot be edited.

Note that you can enter a unique Email Subject for each newsletter you create in your Admin Area.
